Key Responsibility

To ensure executive level support to the Chief People Officer (CPO) and contribute as part of the broader executive support team. This role will envelope a customer led mindset and will have accountability for executive level support with a People and Culture remit. The role will also provide administration support, back of house functions and other projects as required. The role will also entail office management support to the Brisbane based office, including managing our fleet provider.

About the Role

As part of the People and Culture team you will be responsible for:

  • Calendar, diary, and travel management of the CPO.
  • Drafting correspondence, reports, presentations, and documents.
  • Assisting with the development, implementation and evaluation of administrative practices, systems, and procedures to optimise efficiency and support the achievement of quality outcomes.
  • Developing strong working relationships with all members of the Senior Executive Leadership Team.
  • Working flexibly and collaboratively with the Key Assets Executive Officer and other Executive Support Officers.
  • Providing back up executive team support (for CEO and COO).
  • Providing executive support to committees and project working groups, including preparation of agendas and papers, meeting minutes and action logs.
  • Coordinating calendar and logistics of all Board and Committee meetings, including taking and distributing meeting minutes.
  • Coordinating events and meetings.
  • Archiving files and other documentation and ensure confidential disposal of sensitive information.
  • Communicating with and providing customer service to a wide range of audiences including State Directors, employees, contractors, external stakeholders.
  • Key relationship manager for Key Assets Australia fleet provider.
  • Day to day monitoring and administration of all KAA Motor Vehicle Fleet activities.

Experience and Skills Required

We are looking for a solution focused, skilled Executive Assistant with initiative and a drive to succeed. This will be supported by your:

  • At least 5 years working in a similar role.
  • Demonstrated experience working with Boards and executive level managers.
  • Working knowledge of effective administrative systems and processes.
  • Keen eye for detail and high-level organisational skills.
  • Ability to work on own initiative and as part of a team.
  • Ability to work under pressure and handle changing priorities.
  • Ability to communicate simply and effectively, both verbal and written.
  • Tenacious, diligent, and resilient with the ability to adopt a creative approach to problem solving in a fast-paced environment.
  • Knowledge of fleet management systems (desirable but not essential).
