Key Responsibility

The Executive Support Officer provides executive level support to the Group Director Business Development (GDBD) and contributes as part of the broader executive support team. This role will envelope a customer led mindset and will have accountability for administrative support and functioning of the GDBD role. The role will oversee the back of house functions and other projects as required and form part of the executive support function nationally.

About the Role

As part of the executive support team, you will be responsible for:

  • Developing strong working relationships with all members of the Senior Executive Leadership Team.
  • Working flexibly and collaboratively with the Key Assets Executive Officer and other Executive Support Officers.
  • Providing high level executive support to the Chief People Officer and the Group Director Business Development, including the preparation of data extracts and reports.
  • Providing executive support to committees and project working groups, including preparation of agendas and papers, meeting minutes and action logs.
  • Maintaining a high standard of customer service and manage key relationships both internally and externally.
  • Managing communications including briefings, reports, and submissions with internal and occasionally, external, stakeholders.
  • Contributing to projects to support the achievement of organisational strategic and operational objectives.
  • Assisting with the development, implementation and evaluation of administrative practices, systems, and procedures to optimise efficiency and support the achievement of quality outcomes.
  • Working with the Executive Officer (support to CEO) and other business support employees across the organisation, as required.
  • Providing general administration support including diary management, travel bookings, correspondence, filing and other tasks as directed for the GDBD.

Experience and Skills Required

  • At least 5 years working in a similar role.
  • Demonstrated experience working with Boards and executive level managers.
  • A good working knowledge of effective administrative systems and processes.
  • Ability to communicate simply and effectively, both verbal and written.
  • Tenacious, diligent, and resilient with the ability to adopt a creative approach to problem solving in a fast-paced environment.
  • Ability to work under pressure and handle changing priorities.
  • Ability to work on own initiative and as part of a team.
  • A keen eye for detail and high-level organisational skills.
