Key Responsibility

To provide professional, comprehensive, and flexible administrative services to support the effective delivery of Key Assets work.

About the Role

Reporting to the Business Support Manager you will be responsible for:

  • Responding to telephone calls, to direct these to staff as appropriate, to take and pass on messages.
  • Ensuring that reception is always covered.
  • Undertaking general administrative tasks.
  • Collecting, recording, and distributing incoming mail. Preparation and posting of outgoing mail including parcels, packages, registered and express post.
  • Ensuring an adequate supply of office supplies and consumables to enable the effective delivery of Key Assets work.
  • Inputting and uploading of documents into Key Assets databases accurately and consistently.
  • Administration of the staff and carer training program including organising and setting up rooms or venues, liaising with presenters re: their AV and other requirements and organising catering.
  • Organising rooms and venues, and catering for meetings.
  • Updating of carer details in the Key Assets database.
  • Inputting of carer expenses into the CRM in preparation of payments to carers on a fortnightly basis.
  • Monthly reconciliation of corporate visa cards.
  • Maintaining the EKIM Assets Register in consultation with the Business Support Manager.
  • In conjunction with the Business Support Manager, ensure that the building is maintained to an adequate standard and complies with health and safety legislation.
  • Attend meetings and take minutes as required.

Experience and Skills Required

To succeed in this role, you will have the following skills and experience:

  • Qualifications and/or demonstrated experience in office administration.
  • High level computer proficiency including demonstrated ability to use Microsoft suite of products.
  • Ability to organise internal and external meetings.
  • Ability to work as part of a team.
  • Ability to work effectively under pressure and handle changing priorities.
  • Ability to deal effectively with competing demands.
  • Ability to maintain confidentiality.
